Manufacturing Shift Handover: An Open-Work Register
Transfer unfinished jobs, held stock and pending decisions between shifts with an acknowledged register, quantity example and incoming checks.

A manufacturing shift handover should transfer each unfinished job, restriction and pending decision to a named incoming owner. Record the current state, the next permitted action and the evidence the incoming team must check before accepting responsibility.
Use this handover when a job continues across shifts, maintenance remains open, inspection has not released material or the production sequence has changed. The outgoing supervisor prepares the record; the incoming supervisor checks it with the people taking over the work.

Prepare the open-work register before the shift ends
Start with the current job cards, machine status, quality holds, material balances and maintenance restrictions. Record the time of the last observation. A report printed an hour earlier needs a check against events since that time.
HSE's shift-handover guidance separates preparation, information exchange and incoming cross-checks. It recommends two-way communication supported by written information. The worksheet below applies that principle to open manufacturing work.
| Record | Information to transfer | Incoming check |
|---|---|---|
| Job and operation | Work order, item, revision, operation and last update time | Match the physical job and released instruction |
| Quantity and location | Accepted, held, rejected and unfinished quantities; container identities | Reconcile the counted groups without adding them twice |
| Restriction | Quality hold, isolation or missing approval; controlling record | Keep the restriction until its authorised owner releases it |
| Next action | Specific task, owner, due time and escalation contact | Repeat back what may happen and what must wait |
| Acceptance | Outgoing and incoming names, time and unresolved disagreement | Acknowledge only the state actually checked |
Walk through an unfinished job
Illustrative scenario: work order WO-614 contains 300 pieces. At the shift boundary, 180 are accepted, 20 are on inspection hold, 10 are rejected and 90 have not completed the operation. The groups reconcile: 180 + 20 + 10 + 90 = 300. This is a count of mutually exclusive states at one boundary, not four production totals.
The outgoing supervisor records that the 20 held pieces occupy container H-12 and await a dimension check. The incoming supervisor locates H-12, confirms its identity with quality and assigns an owner to obtain the decision. The next operation may receive the 180 accepted pieces if its other release conditions are met. It must not receive the held group because the shift target is short.
If five additional pieces finish during the discussion, update the register before acceptance. Record which group they left and where they now belong. A moving process needs a clear observation time; two independently updated totals can otherwise look like a shortage.
Resolve exceptions before signing
If the outgoing person is unavailable, the duty supervisor arranges an evidence-based reconstruction with the relevant operator, quality or maintenance owner. Mark unverified information explicitly and keep affected work restricted. A signature cannot replace a missing inspection decision.
Carry open maintenance work through the site's authorised isolation and handback procedures. The production handover references those records; it does not release an isolation. If the teams disagree about a quantity or machine state, record the disagreement and who will resolve it. Keep the affected movement or restart on hold.
Keep the handover connected in Optiwise
We provide process-level production entries, supervisor entry and produced-quantity tracking in Optiwise production. Our no-code forms support required fields, attachments and role-based access. You can configure an open-work form linked to the job, with separate fields for the observation time, restriction and incoming acknowledgement.
For the first week, check every transferred restriction for an owner and controlling record. Count handovers accepted without an incoming check, unresolved quantity differences and overdue first actions. Set the pilot acceptance rule to zero unowned restrictions and zero unexplained quantity differences before widening the form to another line.
Questions about shift handovers
Does every completed job belong in the handover?
Include completed work when it leaves a pending receipt, inspection, movement or decision for the next shift. Keep routine completed totals in the production record so the handover remains readable.
Can a digital acknowledgement replace the discussion?
Use it to record acceptance after the incoming team has checked relevant information. High-risk or disputed work needs direct communication with the responsible people.
Bring one unfinished job and one open quality hold to an Optiwise workflow demo. We can map the fields and handover responsibilities around those records.
